How to run an online election

I am feeling intimidated by selecting an online voting tool. Here is the process that I imagine:

  • Wiki Project Med has a list of 100-500 voters; I have not see the rolls but I think it is about this many members.
  • The "ballot" will be a survey containing the names of the candidates, of which there will probably be about 5. I have sample text to send out by email at WikiProjectMed:Election#Election_period. The ballot/survey itself can just have the names of candidates and link to the main election page. By posting information on the main election page we avoid having multiple conversations.
  • We send that survey to all the voters, so that each one gets a personal survey link for one-time use.
  • The survey tool compiles the results.

There are a number of available survey tools. The ideal tool is software which aligns with Wikimedia community values. Those values including being free and open, reliable, and easy to use. The only survey option with a Wikimedia community recommendation backing it is Wikimedia Italy's meta:Wikimedia Italia/LimeSurvey. There is other discussion of off-wiki management tools at meta:Wikimedia Social Suite.

Do we want to try the LimeSurvey, or would it be easier to try to use some commercial tool which is less free but which has had professional dedicated development? Blue Rasberry (talk) 21:34, 4 July 2021 (UTC)

  1. Thank you for doing this.
  2. If there would be more candidates and more deliberation about them, as well as more voting procedures I would urge you to consider using Loomio.org, that could be used for free 7days (or even extended for non-profit with zero employees)...I love it as tool (nice UI/UX) for discussion also as it can be alternative to emailing-list mess, when it comes to most used features.
  3. Here and now plain email is sufficient I think. --Zblace (talk) 07:06, 2 November 2021 (UTC)

Voting text

Here is text which I am sending by email to voters.

Hello,

You are invited to vote in the 2021 Wiki Project Med Foundation election for its board of trustees.

Visit the election page to get more information about the election and candidates. https://mdwiki.org/wiki/WikiProjectMed:Election/2021

Here are the candidates:

  • James Heilman
  • Anjna Harrar
  • Alaa Najjar

For this election we have three open seats, and there are three candidates who have volunteered to serve. To vote, either reply back to this email saying "support" if you support all the candidates; otherwise say "oppose" and "support" with names of candidates as you choose. In addition, you are invited to share any comments or ask questions about the election publicly on the on-wiki talk page.

The above is what you need to know about the election. What follows below is supplementary information about our organization in general.

Wiki Project Med Foundation is a volunteer organization with no paid staff. Organization members all have some relationship with medical content in Wikipedia and other Wikimedia sites, such as by editing Wikipedia directly but also in off-wiki relationships such as by seeking expert review of content. Anyone with comments is welcome to post them either at mdwiki or on the meta project page.

For more information about the current Wiki Project Med Foundation board see

For more information about this organization's elections see https://mdwiki.org/wiki/WikiProjectMed:Election

I, Lane Rasberry, am a member of Wiki Project Med and also a Wikimedia community editor. I am managing this modest election. I appreciate volunteers who responded to invitations to stand as candidates. If you have comments about the election process then please post them to the wiki.

Thanks

Voting link

Thanks for organising the election. I am unable to locate the email with the voting link. Is there any text I can use to search my inbox in case it came and I missed it? Prashanthns (talk) 12:42, 3 November 2021 (UTC)

Same here — I could not find any email that would seem to contain my voting details. --Daniel Mietchen (talk) 18:31, 7 November 2021 (UTC)
User:Prashanthns and User:Daniel Mietchen emailed you both. Doc James (talk · contribs · email) 20:13, 7 November 2021 (UTC)
Thanks — I can confirm that that email reached me fine in time. --Daniel Mietchen (talk) 21:55, 11 November 2021 (UTC)
